Help & Getting Started
Everything you need to go from signup to a working ERP.
1. From signup to your own ERP
- Sign up and walk through the wizard: your company name, your subdomain (this becomes your ERP address, e.g. yourcompany.nezmaro.com), your logo and branding, and the person who will administer your ERP.
- Start your 7-day free trial via Paddle — your card is saved but nothing is charged today. The subscription begins automatically when the trial ends; cancel before then and you pay nothing. Paddle is our Merchant of Record and sends you the invoice.
- Provisioning is automatic. Within minutes your private ERP instance is built — its own database, fully isolated from every other customer.
- Check your inbox. You receive an invitation email with a set-password link for the ERP; you are its administrator and add your team from there.
2. Your two logins
You'll use two sites — same account owner, different jobs:
- The control panel (this site, after login): subscription, team invites, storage & backup settings, marketing setup, AI settings.
- Your ERP (yourcompany.nezmaro.com): daily work — invoices, stock, customers, everything. Always use the address ending in /app; if you land on a plain "My Account" page, that's the customer portal side — just go back to /app.
3. First steps inside your ERP
ERPNext greets you with a checklist — follow it in order: create an Item (what you sell or buy), a Customer, and your first Sales Invoice. Then set up the basics under Accounting: company details, fiscal year, taxes and chart of accounts.
The official manual is excellent — bookmark it:
- ERPNext manual — start here
- Accounting · Stock / Inventory · Selling · Buying · CRM · Manufacturing · Projects
4. Adding your team
- In the control panel, open Users and invite colleagues by email — each gets an invitation to set their password.
- Pick each person's role when inviting: e.g. Accounts User for your accountant, Sales User for sales, Stock User for the store, HR User for HR. Keep System Manager (full control) for yourself.
- Fine-grained permissions live inside the ERP: open a user's profile to add roles, or use the Role Permission Manager for per-document control.
- Your plan sets the seat limit (Starter: 5 users, Pro: 20). Upgrade any time.
5. Marketing tools
Your ERP ships with CRM (leads → opportunities → customers), Email Campaigns, Newsletters and Web Forms — nothing to install. In the control panel, open Marketing to enable them and connect your own outgoing email (your SMTP server, port 465 with SSL or 587 with STARTTLS), so campaigns send from your own domain.
6. Storage & backups
- Every instance is backed up automatically from day one. Until you connect storage of your own, we keep a nightly copy in storage we own — you do not have to configure anything for this.
- In the control panel, open Settings to move your backups into an account you own: Google Drive (we push it nightly) or your own S3-compatible bucket (your ERP uploads on the schedule you choose). Worth doing — it is the copy you can reach without asking us. From then on the routine copies live in your account; whichever you choose, we always keep the final backup taken before an instance is decommissioned.
- Backups include your database and attached files. A final backup is always taken before an instance is ever decommissioned, and kept for 90 days.
- Need a restore or a data export? Email us — see Support below.
7. Billing
- Every plan starts with a 7-day free trial; your first charge happens when the trial ends, unless you cancel before then.
- Subscriptions are billed monthly by Paddle, our Merchant of Record — invoices and receipts come from Paddle.
- Open Billing in the control panel to update your card, see invoices or cancel — the buttons take you into Paddle's secure portal. To upgrade or downgrade, email us; changes are prorated by Paddle.
- Cancel any time — your ERP stays available until the end of the paid period, and after that it is locked, not deleted, for a further 30 days. See our Refund Policy for the 14-day guarantee.
- If a payment fails, your instance is temporarily locked while Paddle retries the payment — the site shows a maintenance page and sign-in is disabled — and access is restored automatically as soon as a payment succeeds. Nothing is deleted while Paddle is still retrying. If the payment is never recovered and the subscription ends, the instance is removed no sooner than 30 days after the failed payment and no sooner than 7 days after the subscription ends, and we email you the removal date when it ends.
- When a subscription ends, the instance is locked, not deleted, and kept for 30 days — still backed up nightly (if it ends after a failed payment: until 30 days from that payment or 7 days from the end, whichever is later). Restart within that window and everything comes back, same site, same data. We email you when the lock starts and again before the end of it; only then is the instance removed, with a final backup kept for 90 days.
